Minutes of Administration Group Meeting
Monday 1st June 2009
Attendees: Angela H (Chair), Fr
Apologies: Suzannah F
Office Matters
AH thanked SW for doing a great job in clearing out the kitchen.
Office cupboards – there are three shelves without brackets so some improvisation is required. The kitchen shelf needed screwing to secure it. JB
A 2nd phone line is to be ordered for AM in order to have a business/personal split. AH
The network ‘hub’ should be in its own power socket. A number of other computer related items need attention so arrangements need to be made with the support contact. AH
A draft of safety procedures will be produced following the fire inspection. JM
OLLI
Detail on the costs to date was circulated by JM.
The following items need discussion at the Fabric committee. JB
The front two doors are out of uniform it was suggested that a further ‘spring’ be removed from the one door to remove the need for someone holding it open when an event is taking place.
The mezzanine has no speakers and consideration should be given to progress with the sound system, also some form of air cooling is required.
Parish Website
Some changes to improve consistency on the site have been made, the ‘About Us’ and ‘Contact Us’ are yet to be changed. JB/AM
A ‘Pay Pal’ account is to be established to allow a web page for fund raising events. JB
50 Years Celebration
There had been a nil response to the request for volunteers to join the team responsible for producing the ‘souvenir’ book.
A sub group meeting was arranged to take this further. MT
Any Other Business
The strawberry fayre which is to raise funds for OLLI is open to all the community and a notice should be put up on the external board. It was agreed to allow individuals to donate money rather than have a fixed charge. AM
The parish council meeting 9th June – encourage attendance by putting a notice in the newsletter AH
A discussion on the recognition of key contributors to OLLI was inconclusive.
Following the meeting
UI raised the matter that access to the external notice board was difficult as it needed an allen key which wasn’t available. UI offered to keep this under control by removing old notices etc. as soon as she is given a key. Also two screws at the bottom require tightening. JM
UI also raised her disappointment that we didn’t promote more on polling day e.g. URC concert.
